Board Members

Our preschool is run by a volunteer parent Board. The leadership skills, creativity, and commitment of parent members keep our school running smoothly. The Board is responsible for all aspects of running the school, including fundraising, hiring teachers, ensuring that the philosophy of the preschool is upheld, establishing and maintaining school policies, and providing guidance and supervision over the school’s operations.

Board Meetings for the 2023-2024 school year will be held on the last Thursday of each month.

All members are welcome to attend, and board members are required to attend. Each class is represented at Board Meetings by their Class Chair. Class Chairs can bring class-specific questions or issues to the attention of Board.

Many board positions are eligible for priority registration, which means that by volunteering you can be guaranteed a spot in the class you want. Positions are usually filled for the following school year in January. If you have questions about a position, please contact our Class Leadership Chair. You can also contact the person in that position currently. Here are brief descriptions of each position.

Board President

An Executive Board Member, elected by the General Membership, who votes only in the event of a tie, and a member of the Executive Board. The Board President sets the agenda/priorities for the Board and presides at the monthly Board meetings and the Executive Board meetings. Other responsibilities include: interfacing with the United Church of Christ Board of Trustees regarding landlord/lessee issues; communicating regularly with the Teachers; communicating with college Parent Education Instructors on important issues regarding the running of the school; coordinating the efficient operation of all ongoing preschool activities and groups in accordance with the Bylaws.

Secretary

An Executive Board Member, elected by the General Membership, with voting status. Responsibilities include: take attendance at monthly Executive Board and Board meetings; take accurate minutes at all Executive Board, Board, and All School meetings; distribute minutes to all Board members and file in office; keep a list of any amendments to the school policies; create letters or forms as needed; keep all printed material (forms, minutes, etc.) in an electronic form and store hard copies as needed; become a signatory on school bank account(s) and sign checks for Treasurer as needed; create sign-in sheets for the All School meetings.

Treasurer

An Executive Board Member, elected by the General Membership, with voting status. The Treasurer is the caretaker of funds for the group and is responsible for reporting the ongoing financial position of the school. The school is expected to have a paid bookkeeper to work with the treasurer to complete their duties. Specific duties of the Treasurer include: maintaining financial records; maintaining a bank account with at least one other officer as a co-signer; paying bills; depositing checks; collecting tuition and fees; managing scholarships; giving a monthly financial report and establishing a yearly budget and tuition; creating autopay for tuition in Jovial; supervising the membership tuition process, including collection and deposit of checks and follow-up for late payments; communicating with Membership regarding enrollment changes (adds/drops); managing the scholarship account; assisting the paid bookkeeper work with filing taxes and completing payroll. The bookkeeper performs a yearly audit at the end of the year.

Operations Chair

An Executive Board Member, elected by the Board, with voting status. Responsibilities include: performing the operations duties of MCP; overseeing the Health and Safety Team and safety inspections; overseeing the maintenance team and monitoring ongoing projects; ordering supplies for the school; participating in lease negotiations (every year or two); reviewing and revising the Bylaws and Membership Handbook annually.

Personnel Chair

An Executive Board Member, elected by the Board, with voting status. Responsibilities include: acting as a liaison between the Preschool Teachers and the school; maintaining Teachers’ professional files, the teaching schedule and other personnel issues that may arise; developing and updating Teacher yearly contracts; running the biannual Teacher performance assessment; holding annual Teacher reviews; leading Teacher individual development planning at start of each school year.

Marketing Chair

An Executive Board Member, elected by the Board, with voting status. Responsibilities include: overseeing and leading the marketing function at the Co-op; discovering ways to promote MCP in the community; coordinating MCP participation in the annual Magnolia Summerfest; coordinate the placement of the sandwich boards and outdoor advertising (i.e. the banner in the village) as appropriate; maintaining and updating bulletin boards, posters, announcements and photo boards in the hallways of the Co-op; developing a binder for future Event Marketing Directors to use as a guideline and meet with other Marketing Committee members as needed; ensuring consistent communication, internally and externally, of the school’s marketing message; coordinating with the Fundraising Chair to advertise fundraising events; coordinating with the Membership Chair to advertise enrollments and membership events.

Membership Chair

An Executive Board Member, elected by the Board, with voting status. Responsibilities include: leading the membership team; acting as a contact person throughout the school year and summer for prospective member inquiries; receiving class change requests from existing members and connecting them with membership; corresponding to the classes they have questions about; explaining to all new and prospective members the philosophy and goals of our school; preparing school rosters in Jovial (or the board-approved online school registration platform) at the beginning of the school year and maintaining them throughout the year; providing Jovial access to Executive Board and Board Members, Teachers, and other relevant positions as needed; maintaining the Jovial waitlist for each age group, coordinating pre-registration and the registration process for the next school year with the team of other Membership Registrars; communicating and coordinating with the Website Coordinator and Marketing Team to ensure important membership dates are current on the school website and social media platforms (eg. registration, tours, and open houses); onboarding and training the summer registrar in the use of Jovial for summer school; coordinating and communicating the dates for general registration and summer registration with the summer registrar. This position also creates, maintains, and updates all the necessary registration forms in Jovial and communicates the new forms with other member secretaries and the website administrator.

Fundraising Chair

An Executive Board Member, elected by the Board, with voting status. Responsibilities include: overseeing and leading all programs and events with purpose to raise funds or resources for the MCP; lead the fundraising team, which includes Toy & Clothing Coordinator, Scholastic Books Program Coordinator, Auction Coordinator and the Fundraising Team; lead the execution, management and promotion of any and all fundraising programs; work closely with the Marketing Chair to promote all programs and events.

Class Leadership Chair

An Executive Board Member, elected by the Board, with voting status. Responsibilities include: acting as a liaison between the Chairs/PCs and the Board; recruit Chairs and PCs for the following year; conducting Chair/PC training in the summer; acting as an ongoing leader for the Chairs/PCs as they communicate with their classes through the summer and school year; continuing as an ongoing advocate for this group; acting as team lead for Nominations and Elections Committee; creating the recruitment poster; nominating new members for the Board and Executive Board.

Diversity, Equity, and Inclusion Chair

A Board member, elected by the Board, with voting status. Responsibilities include: leading the school in being more aware and understanding of diversity within the community; working with Operations Chair to purchase books and toys inclusive to more children; ensuring that decisions made by the Board are equitable to all members of our Co-op community.
